How to Run a High-Converting WhatsApp Broadcast Campaign
Learn how to plan, build, and launch a WhatsApp broadcast campaign that drives real results — with proven best practices for list segmentation, timing, and template copywriting.
Why WhatsApp Campaigns Outperform Email
WhatsApp messages enjoy an average open rate above 90% and response rates that are 5–10× higher than email. When you reach someone on the same app they use to chat with friends and family, your message doesn't get buried — it gets read.
MotherBot's Campaigns feature lets you broadcast WhatsApp-approved template messages to segmented contact lists in minutes.
Before You Start: Approved Templates
WhatsApp requires all outbound broadcast messages (to contacts who haven't messaged you in the last 24 hours) to use a pre-approved message template. Templates are reviewed by Meta, typically within a few minutes for simple text-only templates.
Good template copywriting:
- Be specific about who you are and why you're reaching out
- Include an opt-out instruction (e.g. "Reply STOP to unsubscribe")
- Avoid promotional-only language with no clear value
Example approved template:
Hello {{1}}, your order #{{2}} has shipped and will arrive by {{3}}. Track it here: {{4}}. Reply STOP to opt out.
Step-by-Step: Creating a Campaign
1. Go to Campaigns → New Campaign
Give your campaign a clear internal name — something your team will understand in the analytics view later (e.g. June Reactivation — India Segment).
2. Choose your template
Select from your approved templates. MotherBot shows you a live preview with sample variable values.
3. Select your audience
Filter contacts by:
- Tags (e.g. "vip", "india", "trial-expired")
- Opt-in status — only send to opted-in contacts to protect your sender health
- Last message date — target contacts who haven't heard from you in 30+ days
4. Schedule or send immediately
You can send instantly or schedule for a specific date and time. For most markets, Tuesday to Thursday, 10am–12pm local time performs best.
Monitoring Campaign Performance
After sending, the campaign dashboard updates in real time with:
- Delivered — confirmed delivered to device
- Read — blue tick confirmed
- Replied — contact sent a response
- Failed — delivery failures (invalid numbers, blocked contacts)
Pro tip: A read-to-reply ratio above 5% is excellent. If you're seeing low replies, try adding a clear call-to-action button in your template.
Deliverability Best Practices
- Never send to non-opted-in contacts. Meta monitors complaint rates and will restrict your number.
- Warm up gradually. If your account is new, send to 500 contacts/day for the first week, then scale up.
- Use variable personalisation. Campaigns with a personalised first name have 40% higher reply rates.
- Keep your list clean. Remove contacts with repeated delivery failures before they hurt your account quality rating.
