How to Connect WhatsApp to Zapier (2026): Triggers, Actions & 5 Examples

Zapier connects apps that were never built to talk to each other. Connect it to WhatsApp and you can send a WhatsApp message when a form is submitted, add every new WhatsApp contact to your CRM, or post to Slack when a customer replies, all without writing code.

What you need first
- A WhatsApp Business API number. Zapier can't automate the ordinary WhatsApp or WhatsApp Business app. Automation needs the official API, reached through a platform such as MotherBot.
- A Zapier account. Multi-step Zaps need a paid Zapier plan, but a simple two-step Zap works on the free plan.
- An approved message template if your Zap messages people who haven't written to you in the last 24 hours. More on this below.

How to connect WhatsApp to Zapier
- Ask for access. The MotherBot Zapier app is invite-only. Contact MotherBot support to have it enabled for your account. A Zapier card then appears under Dashboard → Integrations.
- Create an API key. Go to Settings → API Keys, generate a key and copy it. This is how Zapier signs in as your account.
- Accept the Zapier invite. Open the invite link on the Zapier integration card to add the MotherBot app to your Zapier account.
- Build a Zap. In Zapier, create a Zap and choose MotherBot as the trigger or the action. When asked to connect, paste your API key. The instance URL is
https://motherbot.io. - Test it and switch it on. Zapier sends a test event. When it succeeds, publish the Zap.

Five Zaps worth building
1. Form submission → WhatsApp welcome message
Google Forms, Typeform or Jotform → MotherBot: Send Template. Someone fills in your enquiry form and gets a WhatsApp message within seconds: "Hi {{1}}, thanks for your enquiry about {{2}}. Reply here with any questions." A fast reply is often what wins the lead.
2. New WhatsApp contact → your CRM
MotherBot: Contact Created → Pipedrive, Airtable, Monday or HubSpot. Every new WhatsApp contact becomes a CRM record with their name and number, including CRMs that don't have a direct integration.

The 24-hour rule: why a Zap's message fails
This catches most people out. WhatsApp only lets a business send a free-form message within 24 hours of the customer's last message.
- If your Zap messages someone who wrote to you recently, Send a WhatsApp message works.
- If it messages someone new, such as a form lead, a new customer or a cold contact, use Send a WhatsApp template with a template Meta has approved. A free-form message to that person is rejected.

Zapier or a native integration?
Zapier is the right tool for apps that have no direct integration. If the app you use is already connected natively, such as Shopify, WooCommerce, HubSpot, Zoho, Google Sheets or Calendly, the native integration is usually faster to set up and doesn't count against your Zapier task limit. Can I connect WhatsApp to Zapier for free?
Zapier's free plan runs simple two-step Zaps, which covers most WhatsApp automations. You still need a WhatsApp Business API number through a platform such as MotherBot, which has a free-forever plan. Meta charges separately for template messages.
Does Zapier work with the normal WhatsApp app?
No. Zapier can only automate the WhatsApp Business API. The personal WhatsApp app and the WhatsApp Business app have no API that Zapier can use.
Why did my Zapier WhatsApp message fail?
The most common reason is the 24-hour rule. Free-form messages can only reach someone who messaged you in the last 24 hours. For everyone else, use the Send Template action with an approved template.
How fast do WhatsApp triggers fire in Zapier?

Can Zapier send WhatsApp messages from Google Sheets?
