WhatsApp + Calendly: Let Customers Book Meetings Inside a Chat

Sending a Calendly link on WhatsApp is easy. Getting people to actually book, turn up and not forget is harder. A bare link sent in a chat gets opened later, forgotten, and followed by a no-show.

This guide shows how to connect Calendly to WhatsApp so customers choose a time inside the chat, get a confirmation and a reminder on WhatsApp, and every booking lands in your CRM.

What a WhatsApp–Calendly integration should do

A useful setup does four things:

  1. Shows real availability in the chat. Not just a link, but your actual open times from Calendly, as options the customer can tap.
  2. Confirms on WhatsApp. The customer gets a confirmation where they already are, instead of only an email.
  3. Reminds before the meeting. A WhatsApp reminder shortly before the meeting is the simplest way to reduce no-shows.
  4. Records the booking. The meeting is matched to the right contact in your CRM, so sales knows who is coming.

  • A booking can create a deal in your sales pipeline at the stage you choose, so a booked demo appears on the board straight away.
  • No-shows can be marked back in Calendly, so your no-show numbers stay accurate.

How to connect Calendly to WhatsApp

  1. Connect your WhatsApp Business number to MotherBot, if you haven't already.
  2. Authorise Calendly. Open Integrations → Calendly and sign in with Calendly. No API key is needed.
  3. Choose your event types. Select which Calendly event types can be booked from chat, such as a 15-minute discovery call or a 30-minute demo.
  4. Set reminders and deal rules. Choose when reminders go out and whether a booking should create a deal.
  5. Add a booking step to a chatbot. Put Pick a Time where a lead is ready to talk, for example after they answer "Would you like a demo?" with yes.

An example flow: from ad click to booked demo

  1. Someone taps your Click-to-WhatsApp ad and says "I want to know more".
  2. The chatbot asks two qualifying questions: company size and what they need.
  3. A qualified lead sees Pick a Time with the next open demo slots: Tue 11:00, Tue 15:30, Wed 10:00…
  4. They tap Tue 15:30 and confirm with one tap on Calendly's page.
  5. A WhatsApp confirmation arrives, a deal appears in Demo booked, and a reminder goes out before the call.

Why WhatsApp reminders beat email reminders

People read WhatsApp messages sooner than email, and a reminder in the same chat where they booked is hard to miss. The reminder also gives them an easy way out: if they can't make it, the Manage Booking step lets them reschedule in the same chat instead of simply not turning up.

Calendly or built-in appointments?

If your team already runs on Calendly, connect it and keep one calendar. If you book services rather than meetings, such as salon slots, clinic appointments, classes or restaurant tables, MotherBot's built-in appointments may fit better. Can customers book a Calendly meeting from WhatsApp?

Can Calendly send reminders on WhatsApp?

Do I need a paid Calendly plan?

Connecting to Calendly uses Calendly's API and webhooks. Check that your Calendly plan includes webhook access, as Calendly limits it on some plans.
