WooCommerce WhatsApp Integration: Order Updates & COD

Most WooCommerce stores still tell customers about their order by email. Many customers never open it. They do open WhatsApp.

This guide shows how to connect a WooCommerce store to WhatsApp, which messages go out on their own, and the WhatsApp rules you need to know before you switch anything on.

What you can send automatically

Once your store is connected, MotherBot watches your orders and sends the right message at the right moment:

  • Order confirmed โ€” when a new order arrives.
  • Payment received โ€” when a prepaid order is paid.
  • Cash on delivery check โ€” instead of the normal confirmation, a COD order gets a message with Confirm order and Cancel order buttons. See how COD confirmation works.
  • Delivered โ€” when you mark the order Completed in WooCommerce.
  • Order cancelled and refund issued.
  • Payment failed โ€” when a card is declined but the items are still reserved, so the customer can try again.
  • Unpaid checkout reminders โ€” up to three timed reminders with the payment link, the last one with an optional discount code.
  • After the sale โ€” a review request, a "you might also like" message, a win-back offer for customers who have not bought in a while, and back-in-stock alerts.

Each message is a switch you turn on, with text you can edit. Quiet hours stop messages going out at night, and a daily cap stops one customer getting too many.

One thing WooCommerce does not have: a "shipped" step. WooCommerce itself carries no tracking number, so the delivery message goes out when you mark the order Completed. If you ship with Shiprocket and want "on its way" and "out for delivery" messages, see shipping updates on WhatsApp.

Before you start

  • A MotherBot account with a connected WhatsApp Business number.
  • A WooCommerce store on WordPress, and admin access to it.
  • A plan that includes the WooCommerce integration. The WooCommerce integration needs a paid MotherBot plan that includes it โ€” the Free Forever plan has no integrations. See plans.

How to connect WooCommerce to WhatsApp

There are two ways. The plugin is easier and does more.

Option 1: the MotherBot WordPress plugin (recommended)

  1. Install the MotherBot plugin on your WordPress site. The WordPress guide shows how.
  2. In the plugin, click Connect WooCommerce. It creates a store key you can take back at any time and links the store to your MotherBot account.

The plugin also notices a shopper's cart the moment they type their phone number at checkout. That means you can remind people who left before placing the order, not only people who left an unpaid order behind.

Option 2: a WooCommerce key

  1. In WordPress, go to WooCommerce โ†’ Settings โ†’ Advanced โ†’ REST API and add a key with Read/Write access.
  2. In MotherBot, go to Integrations โ†’ WooCommerce โ†’ Connect, and enter your store address and the two parts of the key.

Get the message templates approved

WhatsApp only lets a business send its own wording to someone who messaged it in the last 24 hours. Order updates usually go to people who have not, so they must use templates that Meta has approved first.

MotherBot comes with a ready template for each store message โ€” order confirmation, COD confirmation, cart reminders, delivered, cancelled, refund, win-back, back-in-stock and more. Submit them under Templates. Approval is per WhatsApp number, so first choose the number your store sends from.

Switch on the messages you want

Go to Integrations โ†’ WooCommerce and open the automation settings. Turn on each message, edit its wording, and set the timing. Names, order numbers, totals and links fill in from the order by themselves.

What it costs

There are three separate bills:

  • Meta charges per template message delivered. Order, delivery and COD messages are usually utility messages (about โ‚น0.12 each in India). Cart reminders and offers are marketing messages (about โ‚น0.86 each). Replies inside the 24-hour window are free for the first 1,000 each month on each WhatsApp number, then charged per reply. Meta bills these directly to your WhatsApp Business Account โ€” nothing passes through MotherBot. Current rates are on the WhatsApp pricing page.
  • MotherBot charges for your plan.
  • WooCommerce and any WordPress plugins bill their own fees, if any.

Frequently asked questions

Can WooCommerce send WhatsApp order notifications automatically?

Yes. Once the store is connected, MotherBot sends order confirmation, payment, delivery, cancellation and refund messages on WhatsApp as each order changes status. You choose which ones are switched on and edit the wording.

Does WooCommerce have a built-in WhatsApp integration?

No. WooCommerce sends emails out of the box. To send WhatsApp messages you need a WhatsApp Business API provider such as MotherBot, connected to your store with a plugin or a store key.

Why is there no "shipped" message for WooCommerce?

WooCommerce itself has no shipped step and no tracking number โ€” those come from separate shipping plugins. MotherBot sends the delivery message when you mark an order Completed. Shiprocket users can add tracking messages through the Shiprocket integration.

Can I recover abandoned carts on WooCommerce with WhatsApp?

Yes. Unpaid orders get up to three reminders with the payment link, and the last can carry a discount code that is created inside WooCommerce, so it works at checkout. With the MotherBot WordPress plugin, carts are caught as soon as the shopper types a phone number, even before an order exists.

Do customers need to message my business first?

No, as long as you use approved templates. Templates can be sent to anyone who agreed to hear from you. Your own free-form wording is only allowed within 24 hours of the customer's last message.
